By submitting payment to Inka Heights Travel Co., you acknowledge and agree to the following terms and conditions.

Pricing & Currency

All pricing is quoted and payable in U.S. Dollars (USD). Final trip cost will be confirmed in writing prior to deposit. Inka Heights Travel Co. reserves the right to adjust pricing prior to confirmation based on availability, vendor pricing changes, or unforeseen cost adjustments.

Booking & Planning Fee

A $100 planning fee is required to begin designing a detailed itinerary and confirming availability with our local partners. This fee is applied toward the total trip cost once your booking is confirmed. The planning fee is non-refundable.

Travel arrangements are not confirmed until stated in writing by Inka Heights Travel Co.

Deposits & Final Payment

A 30% deposit is required to secure your trip once your itinerary and pricing are finalized.

Because many reservations in Peru are time-specific and non-refundable once issued, deposits are used immediately to secure arrangements including entrance tickets, train seats, accommodations, and transportation services. Once reservations have been purchased on your behalf, the deposit becomes non-refundable.

The remaining balance is due 60 days prior to departure. For bookings confirmed within 60 days of departure, full payment is required at the time of booking.

Failure to submit payment by the stated deadlines may result in cancellation of your trip.

All payments are processed securely via a third-party payment processor.

Cancellation Policy

All cancellations must be submitted in writing.

Due to the time-sensitive and non-refundable nature of many travel services in Peru, including but not limited to entrance tickets, train reservations, regulated entry passes, accommodations, transportation services, and other confirmed travel arrangements, cancellation penalties reflect costs already committed on the traveler’s behalf.

The planning fee and deposit are subject to the terms outlined above.

If cancellation occurs:

  • 60 or more days prior to departure: Loss of deposit only

  • 31–59 days prior to departure: Loss of 75% of total trip cost

  • 0–30 days prior to departure: Loss of 100% of total trip cost

For bookings confirmed within 60 days of departure, full payment is required at the time of booking and is subject to the cancellation schedule above.

No refunds will be provided for unused services, voluntary withdrawal from activities, or failure to obtain required travel documentation.

Travelers are strongly encouraged to purchase comprehensive travel insurance to protect against cancellation penalties, medical emergencies, trip interruption, and other unforeseen circumstances.

Changes to Itinerary

Requests to modify confirmed itineraries are subject to availability and may result in additional charges. Certain reservations, including entrance tickets and train tickets, cannot be changed once issued.

Inka Heights Travel Co. reserves the right to adjust itineraries due to weather conditions, safety concerns, government actions, or other circumstances beyond our control. Comparable arrangements will be provided whenever possible.

Third-Party Suppliers

Inka Heights Travel Co. acts solely as an independent contractor in arranging travel services provided by third-party suppliers. We coordinate travel services in collaboration with licensed local operators, hotels, transportation providers, and other independent suppliers.

These suppliers operate independently and are not agents or employees of Inka Heights Travel Co. While we carefully select trusted partners, we are not responsible for acts, errors, omissions, injuries, losses, delays, or irregularities caused by third-party providers.

Health & Participation

Travelers are responsible for ensuring they are physically and mentally fit for travel. Certain activities, including high-altitude travel and hiking, involve inherent risks. By confirming a booking, travelers acknowledge these risks and accept responsibility for their participation.

Travel Documents

Travelers are responsible for ensuring they possess a valid passport and meet any applicable entry requirements for Peru.

Personal Information & Document Handling

Travelers may be required to submit identification documents, including passport information, for the purpose of securing entrance tickets, train reservations, regulated entry passes, accommodations, transportation services, and other confirmed travel arrangements.

All personal documents are stored securely and used solely for the purpose of arranging confirmed travel services. Identification documents will be deleted once ticketing and required reservations are complete, unless otherwise required for legal or administrative purposes.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to protect against cancellations, medical emergencies, travel delays, and other unforeseen events.

Limitation of Liability

Inka Heights Travel Co. shall not be liable for circumstances beyond its control, including but not limited to weather events, natural disasters, government actions, transportation disruptions, strikes, or access restrictions to archaeological sites. To the fullest extent permitted by law, Inka Heights Travel Co.’s liability for any claim arising out of or related to services provided shall not exceed the total amount paid by the traveler to Inka Heights Travel Co. for the applicable booking.

Governing Law & Jurisdiction

These Terms & Conditions and any disputes arising out of or related to services provided by Inka Heights Travel Co. shall be governed by the laws of the Commonwealth of Pennsylvania, without regard to conflict of law principles. Any legal action or proceeding shall be brought exclusively in a court of competent jurisdiction located in Pennsylvania.

Acceptance of Terms

Submission of any payment to Inka Heights Travel Co., including but not limited to the planning fee, deposit, or final payment, constitutes acceptance of these Terms & Conditions.
